Membership Committee Role and Responsibilities
Objective: The role of the membership committee is to develop and implement a comprehensive plan for membership development and retention of members. To be effective, a Rotary club needs members. Our club’s ability to serve the community, support The Rotary Foundation, and develop leaders capable of serving Rotary beyond the club level is directly related to the size and strength of our club’s membership base.
Chair: President-elect
The responsibilities of the club membership committee are:
- Develop committee goals to achieve club membership goals for the coming year.
- Conduct club assessments to determine strengths and weaknesses.
- Assists the Board in investigating the character, business or profession, community standing, and general eligibility of all people proposed for membership.
- Work with the public relations committee to create a positive club image that is attractive to prospective and current members alike.
- Develop programs to educate and train new and current club members, i.e., STAR Committee
- Reports the committee’s decision on all proposals to the Board.
- Sponsor newly organized clubs in our district, if applicable.

- Development (STAR Co-Chairs)
- Recognition (Committee Member)

PURPOSE: To recognize and honor those Rotarians in the Fort Collins Foothills Rotary Club who best exemplify Rotary’s motto of “Service Above Self”.
ELIGIBILITY: A Rotarian in good standing in the Club. The current President is not eligible for selection. All active (not honorary) members are eligible, including the other members of the selection committee. Once a member has been selected for the Rotarian of the Month award, he/she is not eligible to receive the award again within a 12-month period. Once a member has been selected for the Rotarian of the Year award, he/she is not eligible to receive the award again within a 3-year period.
CRITERIA: The Rotarian of the Month nominee will have demonstrated outstanding service in the following areas:
- Consistent involvement in Rotary club activities
- Demonstrated leadership and initiative
- Is a loyal, dedicated Rotarian
- Always exemplifies fellowship and the ideals of Rotary as interpreted in the Rotary motto, “Service Above Self”
- Strives to live the 4-Way Test in his/her personal and professional life
The Rotarian of the Year nominee will have demonstrated outstanding service in the same areas listed above. In addition, the Rotarian of the Year nominee:
- Has previously been selected as the Rotarian of the Month
SELECTION: The ROM/ROY Committee Chair will solicit input from other Committee Chairs and will bring the final nominees before the Board of Directors for final approval.
RECOGNITION: Each Rotarian of the Month will be recognized at a regular club meeting on the fourth Tuesday of each month. The Club will present a framed certificate together with a 12 ounce Rotary glass. The Rotarian of the Year will be recognized at the year-end Changing of the Guard party and again at the next regular club meeting. The Club will present the recipient with a Paul Harris Fellow as well as a trophy and ROY pin.

All Rotarians are responsible for proposing new members. New members bring important benefits to the club, including diversity, fresh ideas, and new energy. All members are encouraged to reach out to friends, family, business associates and other community members by asking them to join.
Proposer:
- Invite prospective member as a guest to any Rotary meeting
- Invite prospective member to join the club
- Attend the Prospective Member Information Meeting with prospective member, if possible.
- Assist prospective member in the completion of an application for membership
- Bring (or arrange for another Rotarian to meet) prospective member to each weekly meeting (and any social events) that occur during the application period.
- Participate in the induction ceremony.
Mentors are not expected to be experts regarding Rotary; instead their role is to walk with the person on their journey, to help the new member become integrated into the club, to get enthuse and engaged, and to develop a sense of how they can contribute to the group.
During Red Badge Membership:
- Be available by phone and at meetings (sitting with them) to answer any questions the new member may have. (It’s also very helpful to have other one-on-one meetings outside the regular club meetings and to have specific questions or topics ready but do not override what the new member needs.)
- Introduce them to other members.
- Check in regularly and ask, “how’s it going?”
- Guide new member through process of earning blue badge; support them in doing a 2:20, being a greeter, etc. (Mentor will have a copy of the Good Beginnings sheet along with the Red Badger.)
- Encourage new member to complete this process in a timely manner (ideally, between three and six months).
- Ensure new member has connected with the committee(s) of his/her choice.
- Personally invite the new member to all social events and club activities during the first full year of membership.
- Encourage new member to participate in all club functions.

Club Website Contacts:
- Webmaster will develop a link on our website that sends mail directly to the Membership Chair and Club President.
- Membership Chair will contact individual within 48 hours of receipt of email link, thanking him/her for interest and invite to lunch, if appropriate (cc President).
- Membership Chair will connect a club member with the individual who has previously agreed to be a sponsor “on the spot”. (Note: Membership Committee to develop/maintain a pool of members willing to be sponsors for non-sponsored individuals.)
- Newly-appointed sponsor will host individual for lunch and pursue a discussion to learn more about the individual, i.e., What do you do? How long have you been in the community? How did you hear about us? What are your interests? What previous community service have you been involved with? What do you know about Rotary? Are you interested in joining our club? What do you expect to get out of Rotary?
- Sponsor exchanges business cards and asks if individual would like to come to another meeting. Explain that the first two meetings are complimentary and subsequent meetings are $13 to cover the lunch.
- Sponsor follows up with an email or phone call, thanking individual for his/her interest, gives club’s website for further information, and either reminds individual of next meeting or invites him/her to contact sponsor if individual has any questions or would like to attend another meeting at a future date.
- At second meeting, sponsor introduces individual to other key Rotarians and continues to learn more about the individual as well as generally educate individual on Rotary and its responsibilities.
- If individual is still interested in joining Rotary, sponsor gives individual date and time of next Prospective Member Information meeting.
- Sponsor agrees to meet with individual until a comfort level is attained to assist the individual prior to submission of the Proposal for Membership form.
- Membership Chair will follow-up with sponsor for progress report.
Club Meeting Walk-Ins:
- Secretary will welcome “walk-in” and ask if he/she knows anyone in the club. If so, then ask that person to host the “walk-in”.
- If not, Secretary will introduce “walk-in” to a club member, who has previously agreed to be a sponsor “on the spot”. (Note: Membership Committee to develop/maintain a pool of members willing to be sponsors for non-sponsored individuals.)
